Part Time Cowork Office Community Coordinator

We are seeking an energetic professional self-starter for a part-time administrative assistant/ receptionist position for Valley Venture Mentors.

The Cowork Office Community Coordinator is the frontline associate and responsible for handling a wide range of administrative duties. The Cowork Office Community Coordinator is the primary point of contact for the coordination of all technology, equipment, and other shared office services.

Community Management & Events

Responsible for the facility on a daily basis, including the opening of the building, making coffee, mail, and package receiving/delivery, and being the smiling face that greets people daily.
A sparkling personality helps with all this.
Provide onsite support for events including event setup and teardown.
Oversee Fellows and volunteers to assist with event coordination as needed.
Manage and use booking system (Proximity) to track and coordinate space utilization.
Manage and track access and utilization of member perks
Lead tours for prospective members, VIPs, and guests
Prompt and efficient response to all facility related issues, including scheduling maintenance and work orders.
Assist in preparation of pitch decks as assigned by staff.
Conduct Surveys as assigned by COO.
Capture photos of meeting room setups, communal space, & offices.
Ensure the building is clean and well-kept.
Order and restock consumables.
Coordinate and assist with meeting room turnover to maintain the Hub appearance.

Technology Coordination

Coordinate all resources, technology, equipment, and other shared office services such as printing, website updates, mentor database updates.
Serve as the database manager and reporting guru (Little Green Light).
Assist staff with all Little Green Light reporting processes including leads, activity reporting, connections, opportunities, and any additional assigned by supervisor.
Ensure proper updates and functioning of MailChimp, Impact Flow, and any other third party technology vendors/tools.

Vendor Coordination

Serve as daily point of contact for vendors working on social media, website, communications, or other services.
Supply information for them as needed, raising issues/needs to staff to accomplish this.
Ensure their tasks are completed according to the contract/schedule.

Interface broadly across a wide spectrum of business and staff at all levels. This will include current members, potential start-up companies, regional colleges and universities, other private sector ecosystem builders, and private sector businesses.
Manage and coordinate celebratory member move ins and move outs.
Prepare and distribute collateral and member updates.
Be visible in the space when you are here, with an “open desk” policy to answer walk-up questions or refer the inquirer to additional resources.
